Founded by Eric and Barbara Carle in 2002, The Eric Carle Museum of Picture Book Art is the international champion of picture book art.

Situated on 7.5 acres in Amherst, Massachusetts, The Carle houses a rich and deep collection of art of more than 20,000 works of art from more than 320 picture book artists, including Eric Carle (The Very Hungry Caterpillar), and illuminates its collection through exhibitions, education, programming, and art-making—making it a critical resource for picture book artists and authors, and art-loving communities locally, nationally, and abroad. The Carle’s mission is to elevate picture book art and inspire a love of art and art creation. Since opening its doors more than 20 years ago, The Carle has welcomed more than one million visitors—plus more than four million additional museumgoers who have enjoyed its touring exhibitions around the world.

How you will contribute

As the Part Time Finance Coordinator you will assist with various financial tasks, including tracking expenses, preparing reports, administrative support and office management. Provide day-to-day technical support for the organization’s IT infrastructure, helping to ensure all systems function effectively and securely.  

Specifically, you will

Administrative Support 

Order supplies and postage.  

Finance Support

Data Entry:

  • Assist in entering financial data into accounting software, ensuring accurate and timely updates to records.
  • Assist in tracking grant-related expenses.
  • Assist in processing invoices and preparation of payment requests and receipt tracking.

File Management:

  • Maintain and organize financial files including receipts, invoices, and statements, ensuring proper filing and easy retrieval for audits. 

IT Support

Inventory Management:

  • Assist with inventory of IT equipment (computers, printers, software licenses) and assist with the procurement of new equipment as needed.

Data Management:

  • Help manage shared files and cloud storage, ensuring that sensitive organizational data is securely stored.

Software Support:

  • Assist with day-to-day use Office365, including troubleshooting minor issues and providing basic training for staff.
  • Comply with federal and state regulations and company policies and procedures.   
  • Other duties as assigned.   

Your background and experience include

  • Problem-solving mindset with a proactive approach to troubleshooting and process improvements.
  • Ability to maintain confidentiality with sensitive financial and employee information.  
  • Strong attention to detail and ability to maintain accurate records.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to manage multiple tasks in a fast-paced environment.
  • Cultural competency to collaborate and coordinate with individuals from diverse backgrounds.
  • Associates Degree or equivalent. Some college or specialized training in accounting is preferred.
  • One (1) to 2 years of relevant experience in accounting, bookkeeping or office management. 

Position and compensation details

  • This position is part-time, non-exempt, 14-20 hours per week, 2-3 days per week.
  • The hourly salary range for this position is $20-$23 per hour, based on experience.
  • Benefits include: accrued paid time off (sick, vacation, personal and holiday pay), discount to Museum shop and programs, plus free admission to many cultural institutions throughout New England.
  • This position may qualify for a hybrid work schedule as approved by the Museum, which is defined as an arrangement where an employee’s work is regularly performed at a location other than the Museum.
